How do I determine what file cabinets and folders to create in my POINT?

One way to determine what file cabinets and folders to create in your POINT (Personal Online INformation Terminal) is to set them up similarly to how you would use physical file cabinets and folders to organize paper documents. Electronically organizing documents in a POINT is not much different from organizing them physically. To go to a document, instead of opening the drawer of a file cabinet and locating a folder, you will electronically open a file cabinet in your POINT and then locate the folder you need inside it. (Your POINT offers the added benefit of the ability to search for a file by keyword if you forget where you filed it.)

Another item to consider is who will need access to the information in a file cabinet or folder. You will be able to share an entire file cabinet and all its contents or a folder and all its contents (including subfolders). So, if there are certain documents the board of directors but no one else should have access to, you could upload those documents to a specific file cabinet or folder and then share only that file cabinet or folder with the board.

I want someone to view my file, but they don't have the software the file was created in. Can DocLanding help?

With our proprietary online DocLanding viewer, you and recipients of your shared files can view many common file types regardless of having the native software applications. These include Microsoft Excel (.xls and .xlsx), Microsoft Word (.doc and .docx), Microsoft PowerPoint, (.ppt and .pptx), Adobe Photoshop (.psd), Adobe Acrobat PDF (.pdf), and many image formats (.jpg, .jpeg, .gif, .tif, .png, .bmp). When you view a document through the DocLanding viewer, it typically loads in seconds -- faster than opening the native software to view the document, even if you do have that software.

The DocLanding viewer lets you move from page to page, zoom in and out, rotate, and even search for key words in the text of documents.

How do I quickly preview a document?

When you navigate to a file and click its name in the file listing, a preview is displayed if available in the DocLanding viewer. These previews are generated for many types of files, including Microsoft Office files, Adobe Photoshop, Adobe Acrobat PDF, and a number of image files. You do not have to download the document or wait for its native application to load to quickly see if the selected document is the one you are looking for.

How do I know how much storage I have used?

Click the Dashboard link at the top of the screen. The Storage Used/Account Info module on the Dashboard will display how much storage you have used out of your available storage.

I have an email and attachment I would like to add to my DocLanding POINT. Is there an easy way to do this?

You can easily email files directly into your DocLanding POINT (Personal Online INformation Terminal) from any email account. The email body and any attachments will appear in Received Files on the main screen of the application. Refer to the User Reference Manual for more information.

I want to share a file with someone, but it's too big to email. What can I do?

Many files that are too large for standard email server limits are not a problem for DocLanding. Files up to 50-100 MB can be uploaded to your POINT (Personal Online INformation Terminal). Contact DOCCENTER at 1-866-387-9950 if you need to upload a file larger than 50 MB. Once a large file is in your POINT, you can share it with anyone who has an email address.

Information you would like to keep private can be securely shared. When you securely share a file (or a folder or file cabinet containing multiple files), the recipient receives an email enabling setup of a free DocLanding POINT through which the recipient accesses the information with the specific rights you set. If you share an item to an email address the system already has on file for a DocLanding user, an email alerts the recipient to log into the recipient's account to access new shared information. You can set a shared file so the user can read it and download it or you can also add the right to edit it and upload a new version. For added control, you can set a time limit for the sharing. My critical information is located on many systems and they all require a separate login. How can I centralize information and make it accessible to me anywhere, any time?

DocLanding enables you to access your files and the files of associates and information providers with one login. Anyone can create a free DocLanding POINT (Personal Online INformation Terminal). If you securely share a file, folder, or file cabinet with someone, that person will receive an email with a link to a page where they can sign up for their own POINT.

Once someone has a DocLanding POINT, the user can then easily share files, folders, and file cabinets with you. You can also create a POINT for your personal document storage. When you log in to your POINT, the items shared with you from any other POINT are immediately accessible -- there is no need to remember multiple logins on multiple systems to access all the information you need. And, the items you shared with others are under your control -- you can remove access to any shared item with a few mouse clicks.

Since DocLanding is available via a secure online application, your information is available 24/7, from virtually anywhere. And you won't have to carry around USB drives which are easy to lose or end up in the wash.

My company needs to upload a large quantity of a certain type of document. How can we find the specific document we want once it is in our POINT?

If you have a large number of a certain type of document to add to your POINT (Personal Online INformation Terminal), consider adding searchable, user-defined labels to each document you upload. In DocLanding these labels, which help to categorize your documents, are called indices. Then you can search for a document by the value of one or more of its indices.

For example, your company might have a large number of invoices to electronically file in your DocLanding POINT, which you want to upload to a file cabinet named Invoices.

You would set up the Invoices file cabinet so that whenever a document is uploaded to it, the Upload Files wizard asks for values specific to this document for indices you have set up.

For instance, for an Invoices file cabinet, you might set up the indices Vendor Name and Due Date. Whenever an invoice is uploaded to the file cabinet, the Upload Files wizard will ask you to type in the Vendor Name and Due Date for that invoice.

Once each invoice has been labeled with its Vendor Name and Due Date, you can then use DocLanding's Advanced Search to sift your documents by a specific vendor name and/or due date and retrieve just the documents you want in seconds. (You can also simply enter the vendor name or due date in the search field on the main page of your POINT, although you might get other documents that match the criteria besides the indexed invoices). I want to share some documents, but they include private information. Can I black out parts of a document?

DocLanding enables you to black out, or redact, private information from documents you want to share, such as Social Security numbers, bank account numbers, etc. Refer to the User Reference Manual for more information.

I don't want anyone to be able to download a document I am sharing at all. What can I do?

If you share a document you don't want anyone to download, you can set it so that when the recipient views it in the Share Center, the recipient does not have a download link. The recipient will be able to view it only via the DocLanding viewer. To do this, you would set a file cabinet's Require Modify Right to Download to Yes and give the user Read Only access when you share the document. Refer to the User Reference Manual for more information.

I am concerned someone might alter an original document I am sharing. What can I do?

In addition to preventing a document from being downloaded from the Share Center, you can also set a file cabinet so that when one of its documents is viewed in the DocLanding viewer, a watermark is displayed over it. This discourages someone from even taking a screen print of your original and trying to alter it. Refer to the User Reference Manual for more information.

I want to be able to save different versions of documents in a file cabinet. What can I do?

You can choose whether to enable versioning when you create a file cabinet, or, after it has been set up, you can go to the Administration screen and click the File Cabinets tab. Your file cabinets with their properties are displayed. If you want to edit them, you would click the Edit link under the Properties column for that file cabinet, and set Enable Versioning to Yes.

When you are ready to add a new version, you navigate to the document, select it, and click File Actions. On the File Actions menu, you select Add New Versions. A window appears enabling you to browse to the new version and upload it.

To access previous versions of documents, you navigate to the document, click its file name to display Properties (right panel), and click the File version button at the bottom of Properties. Refer to the User Reference Manual for more information.

I want to see items I have shared and delete some shares. What do I do?

On the Home screen of the application, click the Share Center button. Then click the Shared With Others tab. All the files you have shared are listed. To delete a share, click the red X under the Remove column for that file. Refer to the User Reference Manual for more information.
